Privacy notice
1. Scope and controller
This Privacy Notice (the “Notice”) sets out how Sol, based in the United States (the “Operator”, “we” or “us”), collects, uses, discloses and retains personal information in connection with the Underspire Forums (the “Forums”). It applies to every person who visits or uses the Forums, whether or not that person is signed in. It does not apply to the Underspire game or its main website, which are governed by their own terms and notices.
Last updated 13 October 2026. Enquiries concerning privacy, abuse, moderation or legal matters may be directed to archeonsolUS@gmail.com.
2. Information we collect
We collect the following categories of information.
- Account information received from the game. When you sign in, the Forums receive from the Underspire game your account number, username, email-confirmation status, approval and mentor status, staff roles and any account-level restrictions. The Forums do not receive or store your password and do not retain a copy of your email address. Your confirmed email address is retrieved from the game only at the moment it is needed to send you a message.
- Content and activity. The posts and revisions you submit, together with your private messages, reports, profile pictures, preferences, drafts and other actions taken on the Forums.
- Technical information. Our server edge may record your IP address and details of your requests for security purposes. Posts carry keyed digests of the network address from which they were made; these digests are not raw IP addresses.
- Cookies. The Forums use cookies that are strictly necessary to keep you signed in, to protect forms against forgery, to remember the state of a sign-in, and to coordinate sign-in between the game and the Forums. The public forums may be read without signing in.
3. Purposes and legal bases
We process personal information in order to (a) operate the Forums and authenticate members; (b) maintain the security and integrity of the Forums and prevent abuse; (c) enforce the Forum rules and the Underspire Code of Conduct and carry out moderation; (d) respond to requests, reports and enquiries; (e) send the notices you have enabled and notices of moderator action concerning your account or content; and (f) comply with legal obligations.
Where applicable law requires a legal basis for processing, we rely on the performance of the service you have asked us to provide, our legitimate interests in operating a secure and orderly community, your consent where we ask for it, and compliance with our legal obligations.
Notification email is optional and is controlled in Settings. Notices of moderator action concerning your own account or content may be sent by email unless you disable all forum email. We do not sell personal information, and we do not use it for advertising or analytics profiling.
4. Who can see what
Forum permissions determine who may read the content you submit. Private messages are visible to their participants. A message that has been reported is available to the moderators who are handling the report. Moderators have access to forum information. Game account information and keyed network digests are restricted to administrators.
5. Service providers
We engage the following service providers in connection with the Forums.
| Provider | Function | Information involved |
|---|---|---|
| Hetzner | Hosting of the Forums in Germany, including the database and backups | All information held by the Forums |
| Twilio SendGrid | Delivery of forum email | Recipient addresses and message content |
| Google (Gmail) | Receipt of messages sent to our contact address | The content of messages you send to us, and your address |
| Cloudflare (Turnstile) | Bot challenge at game registration on the main website | Connection and browser information supplied to the challenge |
We may also disclose information where we are required to do so by law or legal process, or where disclosure is necessary to protect the rights, property or safety of the Operator, our members or others.
6. Pictures and third-party content
A post may link to a picture hosted on another HTTPS website. When a page containing such a picture is displayed, that website receives your connection information, including your IP address. You may disable the display of post pictures in Settings to avoid those requests.
Profile pictures that you upload are decoded and re-encoded without metadata and are held for moderator approval before they are shown. Uploaded files are not sent to a third-party scanning service.
7. International transfers
The Forums are hosted in Germany. Our service providers may process information in other countries, including the United States. Information handled by these providers may therefore be transferred to, and processed in, countries whose data-protection laws differ from those of the country in which you live.
8. Retention
We retain information for the periods set out below.
| Information | Retention period |
|---|---|
| Posts and their edit history | Retained with the discussion. The text of a deleted post is removed after 30 days. |
| Private messages | Until all participants have left or have been anonymised. |
| Drafts | Removed after 30 days without an update. |
| Alerts | Read alerts are retained for 30 days and unread alerts for 180 days. |
| Reports | Closed reports are retained for one year. |
| Warnings and restrictions | Retained for two years after they have ended or been withdrawn. |
| Keyed network digests on posts | Cleared after 365 days. |
| Profile pictures | A shown picture is retained until it is replaced or removed. A pending picture expires after 30 days. The digest of a rejected picture is retained for one year. |
| Mail delivery records | Retained for 90 days. |
| Moderator audit records | Retained in order to preserve accountability. |
| Server access logs | Forum access logs rotate after 14 days. Signed unsubscribe addresses and query strings are excluded from those logs. |
Backups are protected and held separately. Information that has been deleted from the Forums may remain in an earlier backup until that backup expires. If a backup is restored, deletion and suppression records are re-applied before public service resumes.
9. Your rights and choices
Through Settings you may export your forum data, control email notifications and online visibility, and change your profile picture and preferences. You may edit your posts within the editing window available to your account.
You may contact us to request access to, correction of or erasure of your information, or to raise a privacy concern. We aim to respond within one month. Certain information may be retained notwithstanding a request: discussion text may remain under a former-member label so that the contributions of other participants remain intelligible, and we may retain security or legal records that we are required or entitled to keep.
If your game account is deleted, a period of 30 days begins, after which your forum identity is anonymised. Your name, signature and picture are then removed, and your posts remain without attribution.
Depending on where you live, you may have further rights under applicable law, and you may lodge a complaint with your local data-protection authority.
10. Security
We use technical and organisational measures intended to protect personal information against unauthorised access, alteration, disclosure and loss. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Age requirement
The Forums are intended for persons who are 18 years of age or older, and no person under 18 may take part. Explicit material is prohibited in any forum that guests can read. Adult forums require a confirmed, signed-in account and are excluded from public search indexing. Concerns about age or content may be reported through the Report button or to the contact address given above. Where we learn that a person under 18 has used the Forums, we will take steps to remove that person’s information.
12. Changes to this Notice
We may revise this Notice from time to time. The date of the latest revision is shown at the head of the Notice, and a material change will be indicated by an updated date.
